Senior Finance and Operations Manager job with Lewa Wildlife Conservancy


Purpose of the job: 

The Senior Finance & Operations Manager conducts both
day-to-day accounting and financial analysis. The post is
responsible for developing, implementing and monitoring compliance
with policies and procedures relating to the financial management
of income generated through the fundraising activities of Lewa
International entities including those in USA, Canada, and the UK;
overseeing the implementation of international (non-Kenyan) human
resource processes ; and managing high-level non-programmatic
operations activity on behalf of Lewa International. The position
reports into the Chief Development Officer of Lewa International
and manages the Administrative Officer currently based in the
UK. 

Duties and Responsibilities:  

  1. a) Financial Management
  • Manage all US finances, including the development and
    implementation of books and records meeting generally accepted
    accounting principles and internal management reporting needs
    (e.g., fundraising projections, profit and loss reporting, and
    cashflow analyses)   
  • Maintain the general ledger, accounts receivable, accounts
    payable, fund and endowment accounts. 
  • Manage and reconcile revenue tracking, operating expenses, bank
    transfers, credit card usage and monthly grant transfers for the
    US.  
  • Working closely with the UK Accountant and the Development
    Coordinator (International), act as a key administrator of Lewa’s
    financial database (Quickbooks) ensuring it is kept up to date and
    reconciled monthly with the donor database (Salesforce) 
  • Work with the Development team and Lewa Kenya team to create an
    annual budget and a fundraising budget. 
  • Work closely with Development team colleagues to track
    forecasts, gift projections, and progress towards specific
    fundraising goals, to facilitate regular outgoing grant transfers
    to Kenya.  
  • Ensure that all financial policies of each Lewa organization
    are followed. 
  • Produce monthly and quarterly reports providing key financial
    information for the Development team, the US and International
    boards. 
  • Ensure the timely processing of cheques and cash including
    acknowledgment and confirmation of tax treatment in applicable
    jurisdictions. 
  • Manage the annual renewal process of international
    organisational insurance policies. 
  • Coordinate preparation of external audit materials to work with
    independent auditors on completion of annual US financial statement
    audit which includes preparation of annual financial statements and
    Form 990 
  • Work closely with the Lewa Wildlife Conservancy CFO to ensure
    alignment of all financial processes and procedures across entities
    as permitted by local law. 
  • Manage the review, approval, processing and payment of expenses
    and credit cards for the Development team 
     
  1. b) Human Resources
  • Manage the US payroll and employee benefits including the 403b
    retirement plan. 
  • Manage the annual vacation (holiday) tracking for Lewa
    International Development team, ensuring all data is current and in
    compliance with state and country regulations. 
  • Create and maintain the international (non-Kenyan) employee
    handbooks, ensuring compliance with all country and state specific
    employment laws 
  1. c) Operations
  • Along with the Administrative Officer, support international
    staff by maintaining well organised and efficient office policies,
    systems and procedures. 
  • Manage telecom, IT and other systems for the Development
    team. 
  • Manage charitable registration requirements for all non-Kenyan
    countries and states. 
  1. d)  Other duties as assigned

Location

The position is remote but applications should be based
in New York/East Coast.
